However, suddenly you realize that your passport is soon to expire. This problem is more common than you might think, but it is very frustrating to feel that all your efforts have been wasted. 

The main thing here is that although it is indeed a rather tough issue that needs your immediate attention, it does not always mean that everything is lost or that your application will never go through. First of all, let us emphasize that there is one absolutely important thing to know about visa applications: it is impossible to apply for a visa without a valid passport. 

Indeed, there is no way around it as far as visa applications are concerned.

The Six-Month Validity Rule

One of the most critical, and frequently overlooked, elements of international travel is the six-month passport validity rule. Do not assume your passport simply needs to be valid for the duration of your trip. Many countries, including the United States, India & numerous nations in Asia and the Middle East, require that your passport be valid for at least six months beyond your intended date of entry or departure.

This rule is based on logic. The aim is to protect the traveler from being left stranded when abroad since the passport might expire there or when the trip gets delayed for some reason. This way, one can avoid any legal problems or overstaying the visa limit due to an unexpected need to stay longer. There are some countries that follow the three months rule, but the six month rule is more widespread.

What Happens If Your Passport Expires During Visa Processing?

If your passport expires after you have submitted your visa application but before a final decision is made, you will need to act quickly, but the process is clear.

You Must Act Immediately to renew

It is your responsibility & yours alone to ensure your passport remains valid throughout the entire processing period. This is not an optional suggestion; it is a legal requirement, often dedicated in the immigration regulations of the country you are applying to. In Australia, for instance, failure to hold a valid passport can lead to a visa refusal under the Public Interest Criteria (PIC) 4021.

The moment you become aware that your passport will expire shortly or has indeed expired, it is necessary to start the procedure for renewing the document right away. You must contact your country’s embassy or consulate in your place of residence for instructions on renewing your passport.

Notify the Visa Office Immediately

After initiating the renewal process, the next step is to inform the embassy/consulate that is processing your visa application. Let them know about your situation & update them regarding the status of your visa renewal process. They will tell you what to do next & you will generally need to give them your new passport once it is issued.

Transferring Your Visa to a New Passport

After you receive your new passport, you will likely need to apply to have your visa transferred from your old passport to your new one. This is not an automatic process. Often, you will be required to submit:

  • A completed visa application form.
  • Your new, valid passport.
  • Your old passport containing the valid visa (even if it is canceled).

Some immigration portals offer a “transfer eVisa” function for new passports (e.g., Australia’s ETA, India’s eVisa). If no transfer exists, apply for a fresh eVisa immediately using the new passport number. Priority processing may be available for a fee.

The Hidden Link Between Your Passport and Your eVisa

An eVisa isn’t just a PDF you print or save to your phone; it’s a digital record permanently tied to your passport number & its expiration date. When a passport expires: 

  • The eVisa record can no longer be matched at border control, effectively voiding the authorization.
  • Some countries’ systems automatically cancel an eVisa when the corresponding passport’s validity drops below their minimum threshold.
  • Airlines using Timatic (the global travel rules database) will flag the mismatch & may deny boarding at check-in.

For example, India’s eVisa policy states that the document is valid only with the same passport used during the application. Replace the passport & you must either transfer the eVisa or submit a fresh application.

How to Avoid This Stressful Situation?

To avoid this stressful situation follow these simple steps:

  1. Check your passport expiration date before you start your visa application. If you doubt its validity, renew it first.

  2. Make sure you have sufficient blank pages. Some countries need two to four blank visa pages in your passport for visas that occupy an entire page, as well as entry & exit stamps. Some countries need two serial blank pages.

  3. Double-check the specific rules for your destination. Travel requirements can change quickly. Always verify the latest passport validity rules on the official government website of the country you are visiting.

  4. Avoid misleading websites that claim to be official passport renewal services. Many of these sites overcharge, provide below average customer service, or are outright scams. These websites commonly charge fees to fill out the forms you can access for free on the official sites for government passport renewal. 

The Importance of Proactivity

A key takeaway from any delay or complication is that ignoring the issue will not make it go away. There are real-life examples where applicants have had their visa applications refused because they failed to provide a valid passport, even when they had personal or family reasons for the delay. When it comes to visa requirements, excuses are rarely accepted.

What if Your Passport Has Already Expired?

The situation becomes more difficult if your passport has already expired. You will need to apply for a reissue as soon as possible. Be prepared for extra investigation, a longer processing timeline & the requirement to provide additional documentation. 

For example, if your passport has been expired for more than one year you will likely need to provide a written explanation for why you did not renew it earlier. If the passport has been expired for more than three years you may need to submit affidavits & undergo a more complete background check.
